GlobiMail works best from inside Podio. 

Download the GlobiMail Browser Plug-In to make connecting Apps and emailing even easier.

  • Use the Email button added by the Browser Plug-in to start a NEW email.
  • Use the Compose New Message link in the Activity of the Item or Email Tracking field added to the App Template
    This field is added to the template by default, to remove, go to Reply Links in Configure Settings

The Composer Browser will open in a new tab to send emails using GlobiMail.
Works on desktop and on the mobile browser.

From:
The From Name and Email Address are pulled from the Podio User details who clicked the link.
The From Name can be changed if you wish to use a Generic User.
The selected Verified Email in the Podio Account Settings is used by default and other addresses are listed in the drop-down for alternate selection.
This selection will be remembered by default for future emails from this App.

To & CC:
Addresses are brought in from the Mapped Contact Location in Configure Settings.
The first address will be set in the To: line, additional addresses will be in the CC:.
If no location is set, enter the name and email address for the recipient.
Suggested contact emails from the Podio Item will be available for choosing.
Select +BCC to send a blind copy of the email to another recipient.

Subject:
Can be set to use a single-line text field or a calculation field from the Podio Item.
Map this field for default use from the Reply Links in Configure Settings.

Message Body:
The Formatting Toolbar allows some of the most common options for formatting the selected font, changing the colors, as well as adding images and hyperlinks.
Hover over the icon to get a small text description.

 Canned Responses:
Boilerplates can be created for use when sending standard type emails.
Learn more on the Canned Responses page.

 Insert Podio Field or File:
Easily insert data from the Podio Fields or quickly attach Files from the Podio Item.
Files must be attached to the Podio Item from your computer, not a File Service.

 Attach Files:
Easily Drag and Drop attachments into the header to attach to the email or even inline within the message body.
Files cannot exceed more than 20MB.

Add Signature
Configure Signatures to include in emails.

The Sent Email

The email is Sent to the Contact and will appear as a Comment on the Podio Item.
This Comment is cleansed of HTML and signatures.

Advanced options for the Apps' Email Comments are in Configure Settings.
This includes the view of the Header and how Attachments are handled.

When the email is received by the recipient, the email will show From: your name however the address will be a mapped address for routing purposes.
See Email Address Mapping for more information on how this works.

To show the From: as your REAL address, set up a Sending Domain from any verified email on your Podio account.


Contact Reply

When the Contact sends a Reply to the email, another Comment is made on the Podio Item.
GlobiMail uses the Email Address Mapping created in the previous step to attach the email to the correct item.

By default, when you send an email from an item, Podio automatically follows the item.  Then, a comment is made, you get a notification.
If you need more control, set up Automations on Incoming Emails and set a Reply Received category for easy filtering in a Podio View

Again, by default, the comment is cleansed of history and signatures as per the App Configuration Settings.

Files attached to the Email will be included in the Comment by default.
Settings to turn off Comment Attachments and Add the File to the Item are also available.

Any Emails sent to email addresses in My Team will not be forwarded to their Inbox.
The Advanced option, Don't Email My Team, is ON by default.

Use Email Archiving to keep track of all emails in other places as well as the Podio Item.
This keeps you out of your Inbox and strictly inside Podio.

Keep the conversation going in Podio by clicking the Reply link in the comment.

Moderate this Comment to open the comment in GlobiMail.
This allows an Admin User to edit and troubleshoot the Email Comment.

View the Item in the Email Archive App.
Keeps your Inbox clean and backs up emails for reference.
